This policy explains what personal information Clubsmith handles, why, and what control you have over it. It is written for the people who run a club and the families whose details they enter.
A club that uses Clubsmith is the controller of its members’ information. Clubsmith is a processor: we store and process that information only to provide the service to the club, on the club’s instructions.
The information a club enters about its people, courses and enrolments: names, email addresses, phone numbers, attendance, invoices and any custom fields the club defines. We also hold the account details of the people who administer a club.
We do not collect, store or transmit card numbers. Card payments are handled by Stripe or PayPal and settle into the club’s own account there. Bank account details the club publishes for its payers are its own.
To provide the service: to show a club its people and courses, to send the emails a club asks us to send (through Postmark), and to keep the records a club relies on.
We use a small number of processors: our hosting provider, Postmark for email, and Stripe or PayPal where a club connects its own account. None of them may use your data for their own purposes.
Clubsmith sets a single cookie to keep you signed in, and stores your light-or-dark theme preference in your browser. It does not use advertising or third-party tracking cookies.
Data is kept while a club uses the service. A club may export it to CSV or delete its organization at any time, which removes it. A family should ask their club about a member’s details, since the club is the controller of them.
Depending on where you live you may have rights to access, correct or delete personal information about you. Contact your club first; contact us if the club cannot help.
